You Asked, We Delivered: User Permissions Are Now Live! 

We’re excited to introduce the User Permissions feature, giving you full control over who can access, view, and manage data within your Compare Your Footprint account. This new capability improves your data security, clarifies roles and responsibilities across your organisation, and helps teams collaborate more effectively. 

It's included with your subscription at no extra cost. 

Ready to get started? Simply head to the Users tab in the left-hand menu when you log in. 



What Can You Do with User Permissions? 

Quick Setup with Preset Roles 
Start easily using default roles like Organisation Manager and General User. 


Custom Access Controls 
Decide exactly who can view, edit, or manage your usage data, reports, and billing. 


Supplier Access Made Simple 
Invite your suppliers to enter data for their facilities without giving them access to your wider account. 


Group & Portfolio Reporting Controls 
Set permissions at different levels — Group, Entity, or Portfolio Company — so only authorised users can edit or view data.
 


Consultant-Friendly Permissions 
Manage what external consultants can access or edit in their dedicated accounts, supporting smooth collaboration.
 




Roles Explained 


Organisation Manager 

Organisation Managers have full administrative control of your Compare Your Footprint account. This includes the ability to view and edit all data and reports, manage users, and handle billing. You can have multiple Organisation Managers. 

Default permissions are set for this role, but can be customised. 


Organisation Managers can change other users’ permissions, but cannot change their own. Only Organisation Managers can invite other users to the organisation. 



 

General User 

General Users have standard access: they can modify usage data, generate reports, and view, edit, or delete facilities. However, they cannot create new facilities — only Organisation Managers can do that.

Organisation Managers can tailor General User permissions in detail across these areas: 

  • Organisation 
  • Organisation Metrics 
  • Reports 
  • Usage Data 
  • Dashboard 
  • Developer options 

 



How to Change User Permissions 

If you’re an Organisation Manager, you can update permissions for General Users by following these steps: 

  1. Log in to your Compare Your Footprint account. 
  2. Click on Users in the main menu. 
  3. Find the user you want to update and click the edit icon next to their name. 


If your organisation has many users across different entities, you can search by Permission Group using the dropdown menu for faster access. 


Note: You require Organisation Manager access or equivalent rights to modify permission settings. 




Customising Permissions 


Each role comes with preset permissions you can adjust. 


To revert to default settings at any time, click the Reset to Default Permissions button. 


Go through each Permission Group and toggle permissions on or off as needed for that user. 



Facility-Level Permissions 

You can assign users to specific facilities within your organisation — for example, giving someone access as a Site Manager. To do this: 

  1. Go to the Facilities Permissions group. 
  2. Select the relevant facility. 
  3. Adjust the user’s access permissions accordingly. 


However, if the user is permitted to view reports, they will be able to see all facilities and organisations (if it is group reporting), and data related to that organisation. 




Inviting New Users 

When inviting new users, they are automatically assigned the General User role. You can customise their permissions before sending out the invitation. 

 



Quickly Review Access 

Use the Users table to get an at-a-glance view of each user’s role and permissions, helping you stay on top of who can do what in your account.
